Technical Quotation Cost Calculator

Find out how much time and internal capacity your team spends preparing technical quotations.

  • Runs in your browser
  • Nothing you type is sent or stored
  • Illustrative starting values, edit them
1. Your current quotation process

The values below are illustrative starting points, not industry benchmarks. Replace each one with your own figures.

Technical quotations or proposals your team prepares in a typical month.

Total hours across everyone involved: sales engineering, estimating, pricing, coordination and review.

Sets the symbol and number format only. Amounts are not converted: enter every value in the currency you select.

Salary plus employer costs and overheads, per hour. Use the blended figure for the people involved.

2. Optional: explore a hypothetical scenario

Test what a reduction in repetitive work would be worth on paper. Every assumption is yours and every result is hypothetical.

For example re-keying data, searching documents, copying text, formatting. The remainder is engineering judgement that stays with your people.

A what-if, not a forecast. Try several values to see how sensitive the outcome is.

One-off cost, if you have an estimate. Leave blank if unknown.

Hosting, licences or support, if any. Leave blank if unknown.

Method

How the numbers are calculated

Annual hours
Quotations per month × hours per quotation × 12
Annual preparation cost
Annual hours × fully loaded hourly cost
Hours freed
Annual hours × repetitive share × hypothetical reduction
Capacity value
Hours freed × fully loaded hourly cost
First-year net benefit
Capacity value − investment − (12 × monthly ongoing cost)
Illustrative capacity-based first-year ROI
Net benefit ÷ (investment + 12 × monthly ongoing cost), shown only when that cost is above zero
Payback
Investment ÷ (monthly capacity value − monthly ongoing cost), shown only when an investment is entered and the monthly margin is positive

What it does not do

  • It does not measure your real process. It only reflects the figures you enter.
  • It does not assume that all quotation work can be automated. Engineering judgement, pricing approval and final review remain human work.
  • It does not include effects on win rate, lead time or revenue.
  • It does not convert currencies. The selector changes the symbol and number format only.
  • Hours freed only turn into savings if the time is actually redeployed or spending is reduced.
